OutLook (2000,
2003 and most Outlook versions)
by J. Scott Willoughby
Read this carefully and check out the warnings at the end BEFORE trying it! Also if you don't get something, read it again. It's not super easy but it makes sense if you are used to windows. Outlook varies from one version to the next but the basic concepts and items are the same.
Well, mostly....
As there are always 3 ways to do anything under windows I am showing you one of the many ways to accomplish the same thing. Think before you click is a good rule of thumb.
Create a New Folder for EMog messages.
1.Under your Mail folders right Click on "Inbox"
2. Select "New Folder" Or "New" then "Folder" (varies
with version) from the pull down menu. This will open a box where
you name the New Folder.
3.Type in "eMog" into the Name Box The Default
location will be where ever you clicked "New" From" OR Select Inbox in
the list.
4.Click OK to create a new folder called "EMog"
Now to build the rule.
1. Go to "Tools" on top menu line.
2. Then Click "Rules and Alerts" Or "Rules" Depending on your version. The Rules and Alerts Box will come up.
3. Click on the tab for "New Rule" This will bring up the "Rules Wizard" which will offer create rule using a template. OR it will show you a number of options.
4. Then Click "Move Message from someone to a folder"
in the Step 1 section, In the Step 2 section it will show you
Apply this after a message
arrives from "People or a distribution list"
5. Click on "People or a distribution list" this
will bring up a window with your address book and Select "EmogII"
from your addresses IF it is
there in the address book
OR type in "emogII <emog@lyris.dundee.net>" the window will close and revert back to the Step 1&2 view.
6. On the next line "move to a "specified folder" This will bring up a list of your outlook folders there should be a little "+" by "Inbox"
7. Click that "+" and Select "Emog" Click OK
8. Back to the step 1&2 list Click "next" and there will be a confirmation screen covering what we just set up. You can add more conditions if you want.
9. Click next there will be another confirmation for the "Emog" part where you can add more conditions.
10. Click "Next" again. In some versions you will be given an exception screen where you can select from a list of exceptions to the rule.
11. Click "Next" again, Finally after clicking a
bunch of "Nexts", you will get to the "Name the rule Screen" the name "EmogII"
should be
filled in already. Or name it anything you like "Bob".
Works too.
On this screen, you can select a check box for "Run this
rule now" to apply it to already received emails. They should be
moved to your New
Emog Folder. Also there is another check
box for "Turn on this rule" Be sure that one is checked.
12. Once you have selected all the other options you want Click "Finish".
Now...If you did well all your emog mail should go to
the emog folder from now on. If you want to change the rule just open the
rules Menu and select
the rule click "edit" to change things.
Applying what we just did you can create a number of Different
rules and scenarios for incoming email. If you set up the emog folder you
can then
segregate into sub folders under Emog OR set it to delete
items by going through the menus again and again for each set of criteria.
If you want to delete "NonMog" headings Just select and
fill in the right action from the menus. If you want to segregate the posts
from certain
people do the same. Each menu will allow you to do some
cool stuff.
Many vesions of Windows are not perfect nor 100% stable.
+++ Sometimes rules overlap and do strange things.
+++ Sometimes older versions of outlook seem to forget to apply rules and you have to rebuild them or reselect them...
++++"Outlook Express" behaves Much the Same but not exactly the same. You can figure it out.
One big issue is that many Outlook versions before have a very limited .PST file size of 2GB! Pst files are your entire outlook email and addresses. They are a secret proprietary database format possibly understood by someone at Microsoft, and if they get too big you will have big trouble. Outlook will act really weird right as it approaches that maximum size and it will refuse to load your folders and quit all together shortly over 2GB. There is a way to repair it but its not fun or dependable. That said, it is REALLY good to delete old and unneeded mail and be sure to clean out your deleted items box regularly. Good luck and May the force be with you.
Gmail/GoogleMail
by Chris Acklam
Those using Gmail/GoogleMail have a number of options.
Personally, I set up an entirely new Gmail account to deal with the eMog throughput, which I access using the gmail web interface - leaving my main mail client free of the sheer volume of messages. However if you want to have eMog emails delivered to the mail client on your computer then you can set up a POP or IMAP connection in Settings, or use the Forward option.
Gmail itself doesn't have the usual directories/folders, but uses a label system instead - and has very powerful search and filter options. So, from the Gmail main interface (Search Mail at the top) you can search for a name, label or word for an instant listing.
1. To organise messages into groups, set up a label by going to Settings/Labels and, in 'create a new label', type a name such as 'non-Mog'.
2. To set up a filter, go to Settings/Filters and Create a new filter. If, for example, I wanted to ignore all messages with 'Non-Mog' in the subject, then I would enter 'non-mog' in the subject field (run a test search if you want to check what it will find), go to the next step and click on, say, 'Skip the inbox (archive it)', 'Mark as read' and 'apply label 'non-mog'.
3. There are a number of options there, from deleting messages automatically or starring those of particular interest. You can set up a number of Filters to organise your emails (but check to ensure that they don't clash and are compatibile with each other).
N.B. If you use Firefox (which I recommend) then you can use an add-on extension called Gmail manager, which adds a tab in the browser status bar and shows the status of all your Gmail accounts (14 here currently).
Hope this helps. Chris
